1. Objective

To ensure cleanliness, hygiene, proper maintenance, and safety of residential, corporate, and public spaces through systematic procedures, trained manpower, and appropriate tools.


2. Scope

This SOP covers:

  • Cleaning: House, corporate office, deep cleaning, disinfection, pest control.
  • Maintenance: AC, electronic and electrical systems, lifts, plumbing, refrigerators, painting/renovation, home appliance repair, fire protection systems, CCTV surveillance.
  • Manpower & Roles: Executive Housekeeper, Housekeeping Supervisor, Room Attendant, Embassy Public Area Attendant.
  • Safety & Personal Grooming

·3. Manpower Roles and Responsibilities

3.1 Executive Housekeeper (EHK)

  • Role: Oversee all housekeeping operations, manage schedules, inventory, quality control, staff training.
  • Responsibilities:
    • Develop SOPs, manage staff assignments, monitor compliance.
    • Supervise cleaning, maintenance, pest control, and disinfection tasks.
    • Conduct inspections and report to management.
    • Ensure procurement and proper usage of cleaning and maintenance tools.
  • Skills/Qualifications: 10+ years in hospitality or corporate housekeeping, knowledge of advanced cleaning, maintenance protocols, and safety.

3.2 Housekeeping Supervisor

  • Role: Supervise daily cleaning & maintenance, coordinate between attendants and EHK.
  • Responsibilities:
    • Assign duties, monitor quality, train attendants, and report issues.
    • Maintain cleaning schedules and checklist completion.
    • Ensure all cleaning equipment is properly maintained.
  • Skills: Experience in commercial cleaning, attention to detail, leadership.

3.3 Housekeeping Room Attendant

  • Role: Responsible for guest rooms, executive rooms, and offices.
  • Responsibilities:
    • Daily cleaning, laundry, restocking, minor maintenance reporting.
    • Follow room cleaning checklists (dusting, vacuuming, sanitization).
  • Skills: Familiarity with cleaning chemicals, equipment, attention to hygiene.

3.4 Embassy/Public Area Attendant

  • Role: Clean and maintain public spaces like lobbies, conference rooms, corridors.
  • Responsibilities:
    • Sweeping, mopping, polishing, and ensuring disinfection.
    • Report maintenance issues to supervisors.
  • Skills: Professional conduct, customer service etiquette, safety awareness.

3.5 Housekeeping Desk Activities

  • Role: Administrative and coordination tasks.
  • Responsibilities:
    • Maintain inventory of cleaning supplies, schedule staff shifts, track complaints, maintain logs.
    • Coordinate with vendors for pest control and equipment repair.

5. Cleaning Procedures

5.1 House Cleaning

5.2 Corporate Office Cleaning

·         Clean restrooms, pantry, and shared areas with disinfectants.

5.3 Deep Cleaning

  • Move furniture to clean underneath.
  • Shampoo carpets and polish floors.
  • Deep scrub bathrooms and kitchen.
  • Disinfect all surfaces and HVAC vents.

5.4 Disinfection & Pest Control

  • Use EPA-approved disinfectants.
  • Target high-touch areas.
  • Schedule pest control monthly or as needed.
  • Keep logs of chemical usage and safety procedures.

6. Maintenance Procedures

6.1 Electrical & Electronics

  • Inspect wiring, sockets, and panels monthly.
  • Test appliances and IT equipment for functionality.
  • Log repairs and replacements.

6.2 AC & HVAC

  • Clean filters every 3 months.
  • Inspect coils, ducts, and cooling efficiency.
  • Ensure proper temperature calibration.

6.3 Plumbing

  • Inspect leaks, taps, and pipelines.
  • Clean drains and traps.
  • Repair minor leaks and report major ones.

6.4 Lifts

  • Monthly inspection by certified technician.
  • Check emergency systems, doors, and controls.

6.5 Fire Protection System

  • Inspect extinguishers, hydrants, and alarms.
  • Conduct fire drill quarterly.
  • Log maintenance and inspections.

6.6 Painting & Renovation

  • Schedule periodic touch-ups.
  • Use safe ladders and PPE.
  • Ensure ventilation while painting.

6.7 Home Appliance Repair

  • Check refrigerators, washing machines, and other appliances.
  • Follow manufacturer instructions.
  • Record maintenance dates.

6.8 CCTV Surveillance

  • Check camera feeds, angles, and DVR/NVR storage.
  • Inspect wiring for tampering.
  • Schedule quarterly testing.
